Our Indigenous Not-for-Profit oganisation is seeking a dedicated and organised individual to join our team as an Executive Assistant. The successful candidate will provide high-level administrative support to our executives.

Responsibilities:

1. Calendar Management:

– Schedule and coordinate meetings, appointments, and events for executives.

– Proactively manage and prioritise executive calendars to ensure efficient use of time.

2. Communication:

– Handle incoming and outgoing communications, including emails, phone calls, and other correspondence.

– Draft and edit documents, memos, and reports as needed.

3. Travel Coordination:

– Arrange travel logistics, including flights, accommodations, and transportation, for executives.

– Prepare detailed itineraries and ensure all travel plans align with the executives’ schedules.

4. Meeting Support:

– Prepare meeting materials, agendas, and minutes.

– Coordinate and confirm attendance for meetings with internal and external stakeholders.

5. Data Management:

– Maintain organised and up-to-date electronic and physical files.

– Assist in the preparation of reports and presentations.

6. Office Management:

– Handle administrative tasks to ensure the smooth operation of the executive office.

– Order and maintain office supplies as needed.

Qualifications:

– Proven experience as an executive assistant or similar role.

– Excellent organisational and time management skills.

– Strong written and verbal communication skills.

– Proficient in Microsoft Office Suite and other relevant software.

– Ability to handle confidential information with discretion.

– High degree of professionalism and attention to detail.

– Ability to work independently and collaboratively in a fast-paced environment.

Experience:

– Prefer at least 2 years of experience as an executive assistant or in a similar role.
